Development Assistant

As part of the DWF team, the Development Assistant will support the implementation of the annual fundraising plan which includes individual donations, major gifts, corporate donations, and DWF fundraising projects and events.

Reporting to the Development Associate, the Development Assistant will be responsible for supporting all fundraising initiatives for DWF.

 

QUALIFICATIONS:

 

  • Post-secondary diploma/degree in fundraising or equivalent with a minimum of two (2) years’ work experience
  • Must possess strong written, verbal and interpersonal communication skills
  • Strong organizational/time management skills with an ability to plan ahead, define measurable objectives, outcomes and meet timelines
  • Proven analytical and problem-solving skills
  • Sound knowledge of donor database systems or equivalent CRM; knowledge of eTapestry is an asset
  • Operate in a manner consistent with ethical fundraising and privacy principles
  • An ability to prioritize and handle multiple concurrent tasks in a highly effective manner
  • Experience working with Indigenous Peoples and Communities is preferred and knowledge of Indigenous cultures, and traditions is preferred
  • Working knowledge of MS Office, internet, and general office equipment
  • Current Police Record Check and Vulnerable Sector Screening is required

 

RESPONSIBILITIES – DEVELOPMENT:

 

  • Oversee the administration and management of CRM database and donor mailing list
  • Maintain both digital and physical donor and partner records
  • Update internal moves management systems to support the Development Associate and CEO in moving annual, corporate, and major gift donors and prospects through the fundraising cycle
  • Tracks and prepares correspondence for pledge reminders, invoices, tax receipts, and thank you letters
  • Develop communication materials for individual and monthly donors including the monthly newsletter and ensure communication strategies between departments are effective and open
  • Support the development of tailored proposals, reports, donor agreements and communication strategies to ensure a high level of donor cultivation, solicitation, and stewardship
  • Support the identification and research corporate, public, private, community and individual prospects for the organization's fundraising priorities
  • Provide administrative support including mail-out support, report updates, and other duties as assigned
  • Monitor trends in the community or region and adapt to online fundraising strategies as necessary
  • Participate as a representative of the Downie Wenjack Fund at events within the community
  • Build relationships with community stakeholders to advance the mission and fundraising goals of the organization



RESPONSIBILITES – GENERAL:

 

  • Take responsibility to increase sensitivity, awareness, and implementation of cultural teachings and organizational practices in a professional manner
  • Support and work towards the overall vision and mission of the DWF
  • Ability to prioritize multiple and/or competing responsibilities and to meet deadlines
  • Ability to work as a team member and within the organization framework including staff meetings, professional development opportunities, team building, and self-care
  • Carry out other duties which may be necessary from time to time, as required

 

RESPONSIBILITIES – ADMINISTRATIVE:

  • Ensure donor database is maintained and current at all times
  • Utilize computer programs (spreadsheets and database software to prepare reports, memos, and documents) + maintain files and media records on Dropbox
  • Knowledge of stakeholders with an ability to network, create and maintain these relationships
  • Coordinate administrative activities with external vendors (i.e. printing, events, etc)
  • Manage physical and digital documentation for the Fund according to established procedures

  • Adhere to policies, procedures and best practices as set by the DWF and applicable funder mandated policies and procedures
  • Ability to create and maintain a confidential, welcoming, friendly and safe environment

 

ACCOUNTABILITY:

 

The Development Assistant will be directly accountable to the Development Associate and/or designate for the proper completion of the functions outlined in the job description.
